What service does Casalina Property Management provide?

How can I access my property information online?

As a client, you'll receive personal login credentials to our OpenSyndic platform. Simply visit our website and click on 'Access Your Portal' to log in. There, you'll find all your property documents, financial records, meeting minutes, and a direct communication channel with our management team.

What does compiling a basic file include?

The basic deed, the rules of co-ownership and possibly the internal rules of procedure make up the co-ownership statutes, which are essential for managing the building. These basic documents are often considered the "bible" of the building because they contain the fundamental rules and regulations to which all co-owners must adhere.

Together with all periodic or non-periodic (maintenance) contracts, these documents form the basic file of the co-ownership. All co-owners have free access to these documents through the co-ownership's web portal. Moreover, co-owners can also access their personal documents, such as statements and advances, digitally through this portal, minimizing the amount of paperwork.

What are minutes and records?

The secretary of the general meeting has the task of drafting the minutes of the meeting. Although the trustee usually assumes this role, it is also possible that a co-owner or a third party is responsible for drafting the minutes.

In any case, the trustee is required to prepare the minutes. These minutes must reflect the decisions of the general meeting, including the voting results and the names of co-owners who abstained or voted against.

At the end of the meeting, the minutes are signed by the chairman, the secretary and all co-owners still present at that time.

This report must be provided to each co-owner within 30 days from the date of the general meeting. At Casalina Property Management, you can find these minutes on the web portal no later than the day after the meeting.

What about the archive?

Upon provisional acceptance of the common parts of a new construction apartment, the post-intervention file, often abbreviated to PID, is turned over to the trustee. This file contains essential information, including an as-built plan, a list of all contractors involved, and an extensive amount of technical data such as inspection reports of the electricity, a schematic overview of the pipes, and information about the ventilation and heating systems.

n addition, the trustee serves as the custodian of all important co-ownership documents, including the bylaws, maintenance contracts entered into, the building's block policy, agreements with suppliers, and, of course, the trustee agreement itself. Upon termination of office, the outgoing trustee must transfer these documents to the newly appointed trustee within 30 days.

At CPM, all these documents are digitally available to each co-owner through the building's web portal, ensuring easy access and transparency.
